How to create Organizational Units

Organizational Units help you structure your organization inside LearnCove. You can use them to organize users, assign managers, and distribute groups or courses across different parts of your company.

You can create up to seven hierarchical layers, allowing you to mirror your real organizational structure (for example: Department → Team → Region → Role).

Step 1: Navigate to Organizational Units

To create a new Organizational Unit:

  1. Click Settings from the navigation menu

  2. Select Workspace settings

  3. Click Organizational Units

This will open the Organizational Units overview where you can create and manage your structure.

Step 2: Create a new Organizational Unit

Inside the Organizational Units page:

  1. Click + Add organizational unit

  2. Enter the name of the unit

  3. (Optional) Select one or more Organizational unit managers

Managers can help manage users and content inside that unit.

When creating a unit you can also enable Lock layer.

If a layer is locked:

  • It becomes hidden from other managers

  • Other managers cannot edit or view the unit

This can be useful when restricting access to sensitive parts of your organization.

Once you hit save to create the Organizational unit you are given the option to go back to the overview or add Users.

Step 3: Add users to the unit

To add users:

  1. Click Add users

  2. Select the users you want to include

  3. Click Add users

All users in your account are available for selection.

The selected users will now belong to that Organizational Unit.

Step 4: Create sub-layers (additional levels)

If you want add another layer below an Organizational Unit:

  1. Locate the unit in the list

  2. Click the three dots (•••) on the right side

  3. Select Add layer

You can repeat this process to build your structure.

Each Organizational Unit can have up to seven layers.

What you can do within each layer

At every level of the Organizational Unit structure you can:

  • Add users

  • Assign groups and courses

  • Create additional layers

  • Edit or delete the layer

This allows you to assign training and manage users at very specific levels of your organization.
